Job Title: Conference & Meeting Coordinator

At Parexel, we are a leading Clinical Research Organization (CRO) company specializing in delivering life- changing medicines to patients. We are seeking a Conference & Meeting Coordinator to join our team at the HQ in Durham, NC. Through transparency and flexibility, the Conference Coordinator is able to establish working environments that allow innovation and creativity.

Who we're looking for:

Parexel is looking for a conference & meeting coordinator to provide dedicated conference/meeting service support in our Durham, NC HQ. This is a highly visible role in the center of all conference center activities. This position will greet all visitors as they enter Parexel's HQ and will need to perform all activities with a professional and positive attitude while executing security procedures. What you'll do:

  • Perform general administrative functions (filing, printing, copying, faxing, laminating, answer/transfer calls, take messages, screen incoming calls etc.)
  • Communicate professionally and clearly with executive teams and/or team members
  • Greet visitors (clients/vendors) with a professional and positive attitude and in line with the security procedures
  • Coordinate transport/taxi arrangement for Parexel visitors and volunteers
  • Assist with schedule of activities (working plan)
  • Monitor overall performance with respect to high quality standards
  • Manage any escalated issues or concerns with professionalism
  • Coordinate the meeting room schedule and ensure special requirements in terms of setup and equipment requests are met
  • Coordinate/distribute hospitality requests for internal/external meetings
  • On-site coordination for videoconference calls
  • Coordinate room set ups and order decorations as needed
  • Provide administrative support as needed
  • Submit and manage helpdesk requests, raise purchase orders
  • Other activities as assigned


Your Profile:

  • Experience coordinating meetings and conferences in an office headquarters and/or professional setting.
  • Outstanding interpersonal and communication skills, with a natural talent for building and maintaining relationships.
  • Knowledgeable on how to set up meeting rooms and conference rooms.
  • Customer service experience in a professional environment
  • Expert knowledge of Microsoft Office Products
